Team and administration

Members, roles and organizations

Invite colleagues, choose their role, share destinations with the team and work in several organizations.

An organization has its own sources, destinations, queue and members. Everyone in it has one of three roles: User, Admin or Owner. Users work with their own things; admins manage the organization; owners also handle billing.

Prerequisites

  • Inviting members and changing roles needs the role Admin or Owner. Only owners can invite or appoint other owners.
  • Your plan includes a number of members. If all included seats are in use, each additional member costs extra per month, and only an owner can order it. See Plans and billing.

What each role may do

User Admin Owner

One-time setup

Invite members

  1. Go to Members and select Invite.
  2. Enter the email address and choose the Role.
  3. If all included seats are in use, the dialog shows the price of an additional member, and an owner confirms with Order with obligation to pay.

The person gets an email with a link. They sign in or sign up with the invited email address and select Accept; signing up through the invitation link confirms the address at the same time. Someone who signs up without the link finds the invitation on the page Welcome to Sealed Print after confirming their email address. Open invitations are listed under Pending invitations and can be revoked there.

Change a role or remove a member

On Members, choose another role in the member's row, or select Remove. A removed person loses access immediately; their API tokens stop working.

Share destinations with the team

A destination belongs to the person who created it. To let the other members print to it, switch on All members in the Access column on Destinations. The same applies to destination groups and workflows.

Several organizations

One account can belong to several organizations, for example a company and a club. Use the organization menu at the top of the sidebar to switch, or choose New organization there to create one; you become its owner. Under Settings → Organization, admins rename it and choose the Organization language for texts that go to people outside the organization, such as email destinations and signature emails.

Every time

New members create their own source, add the printer URL on their computer and print. Admins see all jobs in the queue; users see their own.

Troubleshooting

  • "This invitation is invalid, has expired or belongs to a different email address": the person signed in with another address. Sign out and sign in with the invited address, or send a new invitation.
  • "All included seats are in use. Only an owner can order additional seats.": ask an owner to invite the person, or to change the plan.
  • A user cannot print to a destination: share it with all members, or ask its owner to.
  • Delete the organization: an owner can do this under Settings → Organization → Delete organization. It deletes all sources, destinations, jobs, documents and memberships and ends the subscription; user accounts are kept.
