Send jobs by email (email destinations)
A destination that sends each job as a PDF to fixed email addresses, for example accounting or an archive mailbox.
An email destination works like a printer that delivers to a mailbox: whatever is printed to it is sent as a PDF attachment to up to five fixed recipients. Typical uses are "print to accounting", a document archive or a tax advisor. Combined with a destination group, one print can go to paper and to email at the same time.
Prerequisites
- The Team or Business plan, or Free with pay per use. Every sent email counts towards the emails included in the plan (received emails count as well); see Plans and billing.
- An admin switches on the outbound channel Email once under Settings → Outbound channels.
- The recipients' email addresses. They do not need an account.
With this outbound channel, documents leave Sealed Print: they are sent to the recipients' mail servers.
One-time setup
- Go to Destinations → New destination → Email address.
- Enter a name, for example "Accounting".
- Under Recipients, enter up to five addresses, one per line or separated by commas.
- Optionally enter a Subject (
{name}is replaced by the job name; without a subject the job name is used) and a Message that appears above the document. - Choose the Language of the email for its fixed texts, such as the note about the attachment.
- Optionally switch on Share with all members, then select Create.
To change recipients or texts later, select Recipients and text in the row of the destination. Changes apply to jobs sent from now on.
Every time
Print to the destination like to any printer. The email comes from "[organization] via Sealed Print"; replies go to the person who printed the job. The delivery timeline shows "Accepted by the email service", "Sent to the recipient's mail server" and finally Delivered when the recipient's mail server has accepted the email.
Documents larger than 25 MB arrive as a download link that is valid for 7 days instead of an attachment.
Troubleshooting
- The job failed with "The recipient's mail server rejected the email": check the recipient address for typos. The address may not exist or the mailbox may be full.
- The email does not arrive although the job is "Delivered": the recipient's mail server accepted it. Ask the recipient to check the spam folder and to add the sender to their contacts.
- The destination cannot be created: the outbound channel Email is off, or the plan does not include it.
What's next
- Destination groups: a distribution list of several email destinations.
- Email to printer: the other direction, emails that become print jobs.
