Printing by email
Print incoming faxes
Let your fax-to-email service send received faxes to Sealed Print, so they come out of an office printer by themselves.
Many phone providers and routers deliver received faxes as a PDF by email. With an inbound email address in Sealed Print, these faxes are printed automatically on the printer of your choice, without a fax machine. Your fax number stays the same. Sealed Print does not provide fax numbers itself; it prints what your fax service sends.
Prerequisites
- A fax number with a fax-to-email function, for example from your phone provider, a cloud telephone system or a router with a fax function (such as a FRITZ!Box). It must send faxes as a PDF attachment.
- The Team or Business plan, and an inbound email address.
- A destination where the faxes should be printed, for example the printer at the reception desk.
One-time setup
1. Find the sending address of your fax service
Look at a fax that already arrived by email and note its sender address (for example [email protected]). That
is the address Sealed Print has to allow. If you do not have a fax email yet, send yourself a test fax first.
2. Create the address in Sealed Print
- Go to Sources → Email addresses → New email address and enter a name, for example "Fax".
- Under Destination, choose the printer for faxes.
- Under Allowed senders, enter the sending address of your fax service, or its domain.
- Leave Print the text of the email off: the fax itself is the attachment, the text of the email usually only repeats the sender number.
- Select Create and copy the new address.
3. Enter the address in your fax service
In the settings of your fax service, enter the Sealed Print address as the email recipient for received faxes. If the service can only send to one address and you also want the faxes in your mailbox, keep your mailbox as the recipient and forward the fax emails to Sealed Print with a rule.
Every time
Every received fax is printed automatically and appears in the Queue with a preview and its delivery status.
Troubleshooting
- A fax was not printed: open Received emails on the address card. The reason is shown there, for example an unknown sender (add the actual sending address of the fax service) or a missing PDF attachment (switch the fax service to PDF).
- "The sender address could not be confirmed (SPF, DKIM, DMARC)": some fax services send with a sender domain they are not authorized for. Ask the provider, or forward the fax emails from your own mailbox with "Forward to".
- Faxes are printed twice: check that the fax service does not send to the Sealed Print address while a rule forwards the same emails as well.
What's next
- Hold and workflows: check faxes in Sealed Print before they are printed.
- Destination groups: print faxes and send them to an archive mailbox at the same time.
