Printing by email
Email to printer
Create an inbound email address, decide who may send to it, and print attachments and email texts.
An inbound email address turns emails into print jobs. Every PDF, JPEG or PNG attachment becomes its own job, and if you like, the text of the email is printed too. Suppliers can send invoices straight to the printer, and you can forward any email from your phone to print it at the office.
Prerequisites
- The Team or Business plan, or Free with pay per use. Every accepted email counts towards the emails included in your plan; rejected emails do not count. See Plans and billing.
- The inbound channel Email is on (Settings → Inbound channels, admins). It is on by default when your plan includes it.
- A destination, or a default destination for your jobs. See Default destinations.
- Any member can create their own addresses; admins see and manage all of them.
One-time setup
- Go to Sources → Email addresses and select New email address.
- Enter a name, for example "Supplier invoices".
- Under Destination, choose where the jobs are printed. Default routing uses your default destination.
- Under Allowed senders, add the addresses or whole domains that may print, one per line (for example
[email protected]orsupplier.example). Members of the organization can always send. - Switch on Print the text of the email if the text should be printed as its own job before the attachments, with sender, date and subject.
- Optionally choose a Workflow, for example Hold in Sealed Print, so that emails wait in Sealed Print first.
- Select Create.
Sealed Print creates a random address such as [email protected]. Copy it with the copy button and
give it to your suppliers, or save it as a contact.
Addressing a specific destination
Add + and the identifier of a destination to the address to print there instead:
[email protected]. With the Team plan, groups and several identifiers work too
(…+office+warehouse@…); Address for several destinations on the card builds such an address.
Every time
- Send or forward an email to the address.
- The jobs appear in the Queue shortly after and follow the routing of the address. They are submitted on behalf of the person who created the address.
Under Received emails on the address card you see the emails of the last 30 days, with the number of jobs or the reason why an email was rejected.
Who can print
Only emails from members of the organization and from the allowed senders are printed, and only if the sender address is confirmed (SPF, DKIM or DMARC). Other emails are rejected without a reply, so nobody learns that the address exists. Images in the text of an email, such as logos in signatures, are not printed.
Troubleshooting
The reason for a rejected email is shown under Received emails:
- "The sender is neither a member nor an allowed sender": add the sender address or its domain under Allowed senders (menu of the address → Edit).
- "The sender address could not be confirmed (SPF, DKIM, DMARC)": the sending mail server is not authorized for the sender's domain. This often happens with forwarding services that change the email; see Forward emails automatically.
- "No PDF, JPEG or PNG attachment": other formats, such as Word documents, are not printed. Switch on Print the text of the email to print the text.
- "Too many emails to this address within an hour": an address accepts up to 60 emails per hour.
- "The monthly spending cap for pay per use is reached": on Free with pay per use, raise the cap under Settings → Billing, or wait until next month.
- "Email inbound was turned off": an admin has switched off the inbound channel Email.
- Characters in the printed email text appear as "?": the text print supports Western European characters only; attachments are not affected.
- The address became known to the wrong people: choose Generate new address in the menu of the address. The old address stops working immediately.
What's next
- Forward emails automatically from Gmail, Outlook or Microsoft 365.
- Print incoming faxes through your fax-to-email service.
